Every couple that books us asks some version of the same question: how does a wedding coffee bar actually work on the day? Where does the trailer go, when do guests drink coffee at a wedding, and what do we need to arrange with the venue? After pouring at weddings across Wilmington and the Cape Fear coast, I can walk you through the whole thing in about five minutes.
This is the practical, planning side. If you want the full service details and photos, those live on our wedding coffee bar page.
Set up at Sycamore Bend Estate. The trailer runs silent on battery power, so it never competes with your music or your vows.
When the Coffee Bar Fits Into a Wedding Day
There is no single right slot, and I have served every one of these:
- The getting ready morning. Lattes for the wedding party while hair and makeup are happening. At a two day booking at Sycamore Bend Estate I poured the evening before and again on the wedding morning, and the morning round was everyone's favorite.
- Cocktail hour. Espresso drinks alongside the bar while photos are being taken. The line moves fast because everything is made at one window with a real machine.
- After dinner and into dancing. A cappuccino instead of dessert wine, hot chocolate for the kids, and something warm for the ride home. For fall and winter weddings on the coast this is the slot that earns the most thank yous.
What Your Venue Needs: Almost Nothing
The trailer is fully battery powered and self contained. No generator, no cords across the dance floor, no water hookup, and no noise. Your venue provides one thing: a reasonably level, accessible spot to park. I arrive early, set up in about 25 minutes, and the bar is ready before your first guest wanders over. That makes the coffee bar work at farms, beach venues, backyards, and historic properties that ban generators.
One detail couples care about: you pay one all inclusive total for the event, and your guests never pay for anything. They just walk up and order. Espresso, hot and iced lattes, cappuccinos, mochas, matcha lattes, hot chocolate, London Fog, with oat and almond milk always stocked.
How Couples Usually Book It
Most weddings book two to four hours of service, timed to one of the slots above. You tell me your date, venue, and guest count at book.commontides.com, and I send back a quote within one business day. Wedding dates in spring and fall go first, so the earlier you reach out the better. And if you are planning a different kind of event entirely, the coffee catering page covers corporate mornings, showers, and private gatherings.
Common Tides carries business liability insurance and can provide a certificate of insurance if your venue asks for one, which most Wilmington venues do. It is a five minute email, not a hurdle.
